[SUGGESTION] Starting Birthday projects earlier?

I noticed that the birthday projects are being delivered a bit later after the boys' birthday. I understand it is super difficult to get the gifts to them on time for their birthday (especially now with SJ-M in China) and also with some of the people who enter things in late. But I was thinking maybe starting the birthday projects more earlier? I know they're already started pretty early, but if they can be started maybe 2 months or a month and a half before the boys' birthday, they might be delivered closer to their birthdays?

We have nothing to hide, so I will say everything you need to know.

SJ-World opened only one month before Eunhyuk's birthday, and at that time it was very hectic as we were still organizing the forum and trying to get capable members on our team. This alone is a big reason why the birthday projects are delivered late, as we have obviously been lacking time since the very beginning. Zhou Mi's project was only two weeks after Eunhyuk's, the next month we organized a project for Kyuhyun's 3rd anniversary and it included all other 12 members as well. In June there was Ryeowook's birthday, and immediately after (since their birthdays are at the beginning of July), there were Leeteuk's and Heechul's birthdays. We started Yesung's and Kibum's as soon as we could, but we also had to handle three more projects already (Shindong, Henry, Donghae). Right now we're organizing something for Super Junior's 4th anniversary, but we hope to be able to concentrate on Sungmin's and Kangin's projects soon too.

This is one of the reasons why we are doing only one round of birthday projects; it is extremely difficult to organize everything and have it ready and delivered on the member's actual birthday when there are 15 of them in the group, and when many of their birthdays are also close by (January 1-17: Sungmin, Kangin / February 3-10: Kyuhyun, Geng, Siwon / March 3: SJ-World's anniversary / April 4-19: Eunhyuk, Zhou Mi / May 27: Kyuhyun's anniversary / June 21 ~ July 1-10: Ryeowook, Leeteuk, Heechul / August 21-24: Kibum, Yesung / September 28 ~ October 11-15: Shindong, Henry, Donghae / November 6: Super Junior's anniversary). December seems to be the only month without events, but if you take a look at what January has in store for us, you'll see that it's only an illusion. There are too many members, and their birthdays are too close to give us a decent timespan to prepare everything. Have you ever wondered why soshified stopped doing birthday projects, unless it's a donation? And they even have only 9 members, as opposed to SJ-World and its 15 boys. Trust me, finding gifts for boys is much harder than finding something for a girl, especially when you ARE a girl. They aren't our boyfriends, so we can't get them stuff that is too lovey-dovey (stuffed animals) or intimate (underwear ..though maybe we should've done that for Henry!)

While we work on all these projects behind the scenes, we also manage the forum, which has been growing bigger and more active than we thought it would. We are quite quick at providing translations and media on a daily basis, and we also moderate all sections, reply to all of the questions we're asked, check for people who are spamming just to gain access to all areas, come up with side projects and ideas and have to deal with the consequences (eg. support towels, SUPER♥Donators, ★ Wonder E.L.F., E.L.F. with Jay, E.L.F. with Youngwoon), try to look for new staff members to replace old ones, evaluate possible new Wonder E.L.F., watch the server crash before our own eyes and work day and night to try and get it back up and running and not lose any data, and much much MUCH more.

I'm sure you know this already, but we also have lives outside the internet, many of us have school, university, or work, and if there are SJ-World members who complained about being unable to reach the ideal amount of posts to access the sections in SJ▬Classik, try to imagine what it must be like for us to keep this forum functional and up-to-date and also have a decently active private life. However, even if we were able to be online 24/7, I can assure you that the projects could never be delivered on time. Many forum members may be bitter about this because they see Korean fans delivering their projects on the exact date of the event, but there are many factors working in their favour:

1. These fans all live in the same city.
2. Not all of them do birthday projects and, when they actually do, the projects are organized by the fans of that particular member only. For example, k-afeteria (Kyuhyun's biggest fansite) only organizes projects for Kyuhyun; yuri9doo (Heechul's biggest fansite) only organizes projects for Heechul. It is much easier for them, since they do not have 14 more projects to deal with, or a big forum such as SJ-World.
3. Projects for radio anniversaries or album releases are organized only once a year, which gives them a lot of time to dedicate to them. Also, they usually only buy food and put a sticker on the name of the product's brand, which makes it far easier to pick presents (you have no idea how hard it is to come up with numerous gifts for each Super Junior member on a monthly basis).

We never bought the boys food, we always gave them clothes, accessories, and things we thought they would enjoy. Everything we got them was ordered through online websites or bought in stores by our staff members in America or Singapore, and then sent to Alice in Korea. Only Jungsoo's shoes were bought in Korea, as Alice and I had been wanting to buy those for him since November 2008. Going through the public brainstorming threads, coming up with ideas for gifts, finding the actual gifts, making sure that the boys do not have these gifts already, having a good number of staff member agree with the choice, ordering, and receiving the stuff takes a long time. We could be very quick with the first tasks, but sometimes even when we get the gifts sent with priority mail, we encounter issues and they arrive late. For example, the two shirts for Henry and Donghae were ordered a month ago, but the customs are still holding them HOSTAGE(!) and we have to wait for them to finally realize they are only two shirts, and that we are not hiding drugs or other illegal materials in the package. -_-

Then there is the fan part of the project. Many members decide to wait until the last minute to send their template, message, birthday card, etc. (and the amount of members who does not follow the rules of our projects is overwhelming!).We have to wait for everything to reach Alice and/or Joyce, respectively in Korea and/or Singapore, or else our boys would receive only a handful of messages. We do not like to turn people down, and when they send us PMs or emails pleading for us to wait until we receive their stuff, we can do nothing but say that yes, we will wait. It is their only chance of sending a message to their favourite member, so we would feel uncomfortable telling them that we're not waiting for their stuff to reach us; after all, they also took time and money to prepare it. This is very time consuming.

If that wasn't enough already, there is also the fact that while we have about 3-4 staff members who can translate from Korean to English, finding someone who is 100% fluent and can translate from English to Korean is hard. We do not want to suddenly stop giving the birthday boy a letter along with the gifts, but we have run out of friends to turn to for this little favour, so this has become one of our biggest issues recently. Apparently, bilingual Koreans either don't have enough time to dedicate to these tasks or do not want to help us anymore. If you know someone who can speak Korean fluently, then please ask them if they would like to occasionally help us out.

Lastly, there's the actual delivery part: you can't just go up to Super Junior and pass them a number of bags filled with gifts; first of all, because the bags are too big, and also because approaching them isn't that easy. You can't go to their dorm or follow them around to give them something, it annoys them, but it especially annoys their staff. When delivering the stuff at the SM office there is always a possibility of getting some of the gifts rejected or thrown out without being told beforehand. The guards and staff at sukira get annoyed easily now, and they have refused a few times to take our bags. Everything for Shindong has been ready for a long time already, but we haven't been able to deliver yet because sukira's staff refused to come out and fetch the gifts. As for Henry and Donghae, aside from the shirts being held at the customs, we need to get the letter for Donghae translated, and also find a way to deliver the stuff in China as we don't have any staff members there. On top of that, the Super Junior M members have been travelling so much (just look at the amount of airport pictures) that it's really hard to catch them.

Thank you for your reply Gaia (and Thea and Alice ^^). I just want to say that I didn't mean anything bad toward the staff for delivering the projects later. And especially to Alice who is the one who delivers these gifts to the boys. I understand everything that you have stated, especially about the lack of Korean <-> English translators.

woah...I didn't know there's so much work involved.
I too have a Korean friend who is fluent in English. but I'm not sure if she'll help. Because she's busy with school. But since it's the hols now, I guess she'll have more free time.

Wow, so much works goes into making sure everything runs smoothly. That is why I don't mind if it gets to them a bit late. Because the fact that it will eventually be in the hands of the boys is awesome enough. So like Gaia explained, it is hard to get it to them on time, but the fact that it will get there should put a smile on everyone's face :D

so sad that there are (a lot??) of SJ-World members who are complaining about the projects and all...
i understand them,, bcos as a fan, it's the only way they could reach their favorite member...
but then, i could not understand my fellow ELF for the reason of not understanding you (staffs).... :mad:
it feels like they are close-minded... :grumpy:
i just hope that everyone here will understand your situation...

anyway, i know that every staff is soo busy with there personal lives and in this forum..
but, i never thought it would like that....
(so many things to do... :>D: )
i hope staffs won't get tired....
for it is only our way of expressing love to SJ ....

You guys are doing such a great job. I am acutally really grateful/thankful to have such dedicated leaders for this forum!!
I wish I could help more in one way or another. unfortunately living down under and not being able to speak korean or anything useful kinda sucks :(

KEep up the good work!! Hope 2010 will be easier for you guys cos there are more members and the forum is more established now!

you guys are so awesome... i never thought about your situation before but now..

so that's why soshified doesn't have fan projects nowadays only donations..

i hope you won't stop making some fan projects for each members.

some people should be patient in this projects because the staff's only have few people..

It doesn't really matter if the gifts are late as long as it is delivered to them safely..

I just LOL-ed at the Gifts part. (I suddenly remember SHINeeWorldPH's gift for Jonghyun, a pair of Red Boxers. XD)

Gosh, you guys really have a hard time doing these projects. It's even more hectic than being the Student Council President. Oh golly, I'm sorry for getting on the nerves of the Mods here. O___O. Keep up doing the Lord's work guys. The boys wouldn't know about our existence without you.

And if you guys are in need of Korean-English Translators, I can help. I've got a handful of Korean friends here that are also ELFs. I maybe able to get them to help us :D

aahhh~ i felt depressed knowing that they will feel annoyed if we approached them.. huhuhu what about if we meet them in public, does that mean we cannot get their signature or take a photo? aish.. <-- OK this is kinda out of topic :mhm:

Anyway the guard and staffs at SM kinda mean.. at least just help pass the bags huhuhu. iThrough SMe is the only way for us fans to be decent in approaching them,... :heart:

That depends on the moment, the member, the behaviour of the fans surrounding the member, and if there's SME staff or not, lol.

Thanks for being so dedicated to explain everything to us. It's hard to always monitor as big as this fanbase while it's even growing its number of people. The operation needed to sustain the forum is another thing that the staff has to take care of plus, the moderating of the different threads. Phew! Uh-oh, another is the problem with the translators as our forum obviously needs more of them. I hope I can help with this problem but only when I get my certificate testifying that I've done language studies major in Korean Language. Well, time and effort is what I badly need right now. But anyways, MORE SPEED to our ever enthusiastic SJ-WORLD Staff! :aegyo:

i didn't know there was a lot involved in getting things ready on time and etc. this fact makes me appreciate more the staff, admins, and everyone else for working so hard to keep the site awesome :) i'll try to stay active even with a busy schedule....SUJU Fighting!!!!
